At La Jolla Pres, we follow a six week minimum policy for promoting and communicating our ministry events and classes. This allows us adequate time to prepare the design materials, post them, check for errors, and communicate them efficiently.

It’s important we follow this protocol so that our target audience receives the information they need in a timely manner.

1. The Six Week Minimum

  • BEFORE THE SIX WEEKS – Complete the creative brief/request
  • SIX WEEKS OUT – Prep & Basics (getting the materials ready and the date out there)
  • FIVE WEEKS OUT – Soft launch (getting the “save the date” out there)
  • FOUR WEEKS OUT – Soft launch (raising awareness for who we are targeting)
  • THREE WEEKS OUT – Hard launch (express why people should set aside time/join)
  • TWO WEEKS OUT – Hard launch & blitz (explain benefits of participating and why they should come/join)
  • ONE WEEK BEFORE – Blitz (last minute sign up/join)

2. We recommend ensuring seven touch points to get your event/class/group in someone’s memory. More than six weeks can step on the toes of other ministries, Less than six weeks results in less than optimal communication.

3. Think ahead of time about…

  • Target audience = who should come to this?
  • Goals = what are we achieving?
  • Barriers = what could stop us from achieving our goals?
  • Some of our current tools…
  • Church bulletin
  • Facebook/Instagram/Google posts & ads
  • Print media such as posters, flyers, & banners
  • “This week at La Jolla Pres” email blast (Constant Contact)
  • ljpres.org website
  • ljpres.events website
  • Verbal worship announcements
  • & more

Let’s Plan Your Event/Class/Group…

Once all of your information is gathered, such as general details, building space needed, and registration details, you will complete the Event Planning Form. Once the Communications Coordinator receives your form, your information will be processed and confirmed via email. A marketing plan will also be developed once the Event Planning Form is received. Marketing plans are utilized primarily for new events and classes.

NOTE: If an Event Planning Form is submitted less than six weeks prior to the start date of the event, we are unable to provide all communication points and cannot guarantee the best results.
